Overview

Bellapotcake Property (“we,” “our,” or “us”) operates a property management portal that enables residents to pay HOA fees and management companies to administer properties. This Privacy Policy explains what personal information we collect, how we use it, and your rights with respect to it.

By using Bellapotcake Property, you agree to the collection and use of information described in this policy.

Information We Collect

We collect information in the following ways:

Information you provide directly:

  • Name and email address when you create an account
  • Property and unit information entered by property managers
  • Resident phone numbers entered by property managers (via manual entry or CSV import)

Information from third-party sign-in (Google):

  • Name and email address from your OAuth provider
  • Profile picture, if provided by your OAuth provider

We do not receive passwords, payment card numbers, or any other information from your OAuth provider beyond name, email, and profile picture.

Information collected automatically:

  • Authentication session tokens (stored as encrypted cookies)
  • Standard server logs including IP address, browser type, and pages visited

Information we do not store:

Bank account numbers, routing numbers, Social Security numbers, dates of birth, and business address details entered during payment setup are transmitted directly to our payment processor, Dwolla, over an encrypted connection and are never stored in our systems. We only retain Dwolla's reference identifiers for your linked account.

How We Use Your Information

We use the information we collect to:

  • Authenticate you and maintain your session
  • Display your name and contact information within the portal
  • Process ACH bank transfers for HOA fee payments
  • Send invite emails to new residents on behalf of property managers
  • Provide property managers with resident and unit management tools
  • Comply with legal and regulatory obligations

We do not use your information for advertising, sell it to third parties, or use it for any purpose unrelated to operating the property management portal.

How We Share Your Information

We share your personal information only as necessary to operate the service:

  • Dwolla, Inc. — our ACH payment processor. Bank account information and identity details for payment verification are transmitted to Dwolla to initiate transfers. Dwolla's privacy policy is available at dwolla.com/legal/privacy.
  • Resend — our transactional email provider. Your email address is used to deliver invite and notification emails.
  • Railway — our cloud hosting provider. All application data, including user records, is processed and stored on Railway's infrastructure.

We do not share your information with property managers at other organizations, advertisers, data brokers, or any other third parties not listed above.

Data Retention

We retain your account information for as long as your account is active. If you contact us to request deletion of your data, we will work to fulfill the request promptly, except where we are required to retain information for legal or financial compliance purposes (for example, records of completed ACH transactions).

Security

We use industry-standard security practices to protect your information, including:

  • Encrypted HTTPS connections for all data in transit
  • Encrypted session tokens (JWE) for authentication
  • Passwords stored as bcrypt hashes — we never store plaintext passwords
  • Sensitive payment data (bank account numbers, SSN, etc.) transmitted directly to Dwolla and never stored on our servers

No method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we are committed to protecting your data.

Your Rights

You may contact us to:

  • Request a copy of the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your data

Children's Privacy

Bellapotcake Property is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will promptly delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. Continued use of the service after changes are posted constitutes your acceptance of the updated policy.
